KS Insight ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the KS Insight Admin Portal at admin.ks-insight.com and the KS Insight Mobile App (collectively, the "Service").

1. Information We Collect

Account Information

When you create an account or sign in, we collect:

  • Your name and email address
  • Profile photo (if provided by your authentication provider)
  • Authentication tokens to maintain your session

Calendar Data

When you connect calendar services, we access:

  • Calendar event details (title, time, location, attendees, description)
  • Calendar availability and free/busy information
  • Task lists and task details (for Google Tasks)

Communication Data

When you connect communication services, we may access:

  • Email metadata and content (for scheduling and coordination)
  • Meeting links and video conferencing details
  • Message history for scheduling-related communications

Mobile App Data

When you use the KS Insight Mobile App, we collect:

  • Push notification tokens to deliver chat and task notifications to your device
  • Device information for crash reporting and diagnostics (via Sentry)
  • Photos, videos, and audio recordings you share in chat conversations
  • Camera and microphone access when you choose to capture media for chat

Crash reports sent to Sentry include device model, operating system version, and stack traces. This data is not linked to your identity and is used solely to improve app stability.

2. Third-Party Integrations

Google Services

When you connect your Google account, we request access to:

  • Google Calendar (read and write access)
  • Google Tasks (read and write access)
  • Basic profile information (name, email, profile photo)

Google API Disclosure: Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Microsoft Services

When you connect your Microsoft account, we request access to:

  • Outlook Calendar (read and write access)
  • Basic profile information

Apple Calendar (iCloud)

When you connect your Apple calendar via CalDAV:

  • We store your app-specific password securely using encryption
  • We access your iCloud calendar events for display and synchronization

Zoom

When you connect Zoom, we request access to:

  • Create and manage meeting links
  • Access meeting schedules

SMS / Text Messaging

KS Insight offers an optional SMS notification program for authenticated portal users. SMS notifications are off by default. Users opt in from Profile → Notification Settings inside the portal at admin.ks-insight.com by toggling “SMS Notifications” on, entering their mobile phone number, and selecting which categories of messages they wish to receive (task reminders, direct messages, calendar reminders). No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the categories of information in this Privacy Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Message frequency varies based on the notification categories a user has enabled and their activity on the portal. Message and data rates may apply. Users can opt out at any time by replying STOP to any message or by disabling SMS Notifications in their portal settings. Reply HELP for assistance, or email support@ks-insight.com. WhatsApp

When WhatsApp messaging is enabled:

  • We send notifications and reminders on your behalf
  • Message content is used solely for the notification categories you have selected

Canva

When you connect your Canva account, we request access to:

  • Read and create designs in your Canva account
  • Read design metadata (titles, thumbnails, modification dates)
  • Read design permissions (edit URLs for opening designs in the Canva editor)
  • Basic profile information (display name, team ID)

We store OAuth tokens (access and refresh tokens) and your Canva profile identifiers securely in our database. No design data or content is stored locally — designs are fetched on-demand from Canva and displayed in the portal. When you disconnect your Canva account, your token is immediately revoked at Canva and deleted from our systems. We do not use your Canva data for marketing or share it with third parties.

3. How We Use Your Information

We use the collected information to:

  • Provide calendar synchronization and scheduling services
  • Display your availability across connected calendars
  • Create, update, and delete calendar events on your behalf
  • Send scheduling-related notifications and reminders
  • Improve and optimize our Service
  • Deliver push notifications for chat messages and task updates
  • Monitor app stability and fix crashes (via Sentry crash reporting)

4. Data Storage & Security

  • Authentication tokens are stored securely using industry-standard encryption
  • Calendar data is fetched in real-time and cached temporarily to provide the Service
  • We use Firebase for secure data storage and authentication
  • All data transmission is encrypted using HTTPS/TLS

5. Data Sharing

We do not sell, trade, or share your personal information with third parties except:

  • With service providers who assist in operating our Service (e.g., cloud hosting)
  • When required by law or to protect our rights
  • With your explicit consent
  • With Sentry (crash reporting) and Expo (push notification delivery) for app functionality — these services receive only technical data, not personal content

SMS Consent and Phone Numbers: Mobile phone numbers and SMS opt-in consent information are never shared, sold, or rented to any third parties or affiliates for marketing or promotional purposes. Phone numbers collected for SMS notifications are used only to deliver the notifications you have specifically opted into, and are transmitted only to our SMS delivery provider (Twilio) for the sole purpose of message delivery.

6. Your Rights & Choices

You have the right to:

  • Disconnect: Remove any connected calendar or service at any time through the dashboard
  • Access: Request a copy of your stored data
  • Delete: Request deletion of your account and associated data
  • Revoke: Revoke access through your Google, Microsoft, or Apple account security settings
  • Delete Account: Request account deletion from the mobile app (Settings → Delete Account) — your data will be permanently removed within 7 days
  • Notifications: Disable push notifications at any time through your device settings

When you disconnect a calendar service, we delete the associated authentication tokens within 30 days.

7. Data Retention

We retain your data for as long as your account is active. Upon account deletion or disconnection of services:

  • Authentication tokens are deleted within 30 days
  • Cached calendar data is deleted immediately
  • Account information is deleted within 90 days

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new policy on this page and updating the "Last Updated" date.
